Export Trade Assistant / PA Ø Reporting to a Company Director with a dotted line to the CEO and his assistant Ø This role will entail frequent interactions with the CEO and his Assistant Ø Remuneration will be a CTC Market related salary (we will assess what candidates expectations are and discuss with the CEO as he and the Assistant will participate in the interview process) Ø CTC includes medical aid, plus annual performance bonus based on company and individual performance Ø Secure parking provided Ø Canteen lunch provided daily Ø 20 days annual leave including family responsibility as per Legislation Ø Education required: Grade 12 and preferably a relevant tertiary qualification Ø Experience required: 5 years minimum experience in the Export industry (including to African countries) combined with PA experience and skills - NOTE that the PA duties are secondary, thus focused PA's should NOT apply. The Core focus of the position is Export Ø Start date: Immediate but will wait for the right person Ø Deliverables include: Ø Co-ordination of the entire export trade activities Ø Requesting and recording daily updates from the Director regarding his deals and activities and trip reports. (The Director travels frequently out of the country to conclude deals) Ø Initiating a plan of action to follow through on deals closed by the Director Ø Confirming all purchases with Suppliers Ø Negotiating rates with suppliers / logistics Ø Confirming all sales confirmations with customers Ø Updating delivery schedules weekly and keeping customers informed Ø Mobilising the internal Logistics team Ø Resolving border control transport issues Ø Following up with the internal finance department re client credit application approvals, prompt and accurate invoicing and status of client payments Ø Providing on going status reports to the Directors and keeping the various internal parties informed of relevant information Ø Providing PA support to the Director Ø Other requirements: Ø Strong negotiation skills: ability to negotiate rates with the suppliers / logistics on the spot and not have to wait for the Director to make a call Ø Willing to take calls over the weekend and ensure that the truck makes it across the border without having a nervous breakdown Ø outcomes focused Ø Ability to multi task Ø Assertive, persuasive, confident, ability to push back Ø Resilient Ø Self starter, self motivated, and requires limited follow up and supervision Ø Excellent planning and organisational skills Ø Excellent problem solver Ø Project orientated Ø "can do" attitude, can and will take on any task and makes things happen Ø Decisive Ø Effective communicator at all levels Ø High energy levels, a hard worker Ø Detail oriented Ø Strong co-ordination / collation skills : figures, sourcing and collating a range of information from various sources / departments Ø Intelligent, a quick learner Ø Integrity, is confidential Ø Own car and unendorsed drivers licence Ø Ability to work in a structured, performance managed environment Ø Corporate dress code Ø Normal working hours : 08h00 – 17h00, Monday to Friday. No flexi-time. However, it may be expected to work overtime and on weekends in meeting deadline deliverable. The incumbent must therefore be flexible in this regard Ø Incumbent must be willing to work in December to mid January as this is company’s peak season Ø *****Candidates may be expected to travel to Somerset West for an Agency Interview.
